The Tax Office has started to really crack down on business owners in 2022 to get their lodgments back on track and payments up to date. The consequences of incorrect or late payroll processing could result in:

  • Not knowing where you’re at financially with your business – inability to make clear and confident business decisions
  • Audits from the Tax Office
  • Growing GST liabilities (late lodgment fees + interest) 
  • Penalties and interest for underpayment of super or not paying super on time

4. How long will it take to catch up?

It really depends on how far back that needs to be caught up, so it could take a bookkeeper several weeks to several months. But the good news is that a bookkeeper can at least keep your current bookkeeping records up to date while catching up.

5. Once you’re caught up, how to always keep your bookkeeping on track and never get behind again

Do your bookkeeping weekly no matter how busy you are. If you genuinely cannot keep up, you are far better off to outsource the bookkeeping to a professional to keep on top of

Regular bookkeeping means that your BAS preparation and lodgment will be much easier to keep on top of too. Make note of the BAS lodgment and payment due dates and pop these into your calendar so you won’t forget to lodge on time:  https://www.ato.gov.au/Business/Business-activity-statements-(BAS)/Due-dates-for-lodging-and-paying-your-BAS/ 

If you can’t pay your BAS in full, you’ll still need to lodge it on time, then you can arrange a payment plan with the Tax Office.

Labor won – how does that affect small businesses and startups

Now that Labor has won the Election in Australia, what does that mean for all us small businesses and startups.

Some of the key points covered so far that Labor is doing for small business are:

‘Climate-backed policies with a potential affect on small business include Labor’s electric car discount policy, which is projected to cost $54.3 million in 2022-2023.

Labor has also pledged to invest $20 billion to revamp the power grid, enabling more renewable electricity generation to power homes and businesses. It claims the ‘Powering Australia’ program will create in excess of 600,000 jobs

“Together we can work in common interests with business and unions to drive productivity, lift wages and profits,” he declared.

That gathering will inform the Labor government’s ‘white paper’ on employment, a document likely to express the new government’s approach to the gig economy and insecure work.

In its policy costings, Labor said it would invest $1.7 million in the 2022-2023 financial year to its Startup Year project, an initiative offering income-linked loans to entrepreneurs operating within government-approved accelerator schemes.

Startup Year funding will grow each year to $5 million in 2025-2026, Labor said, eventually providing financial backing to 2,000 final year and early career entrepreneurs.

Labor’s local industry grants is expected to provide $87.1 million in funding across 2022-2023.

The Albanese government has also committed to reducing the pool of uncommitted funding through the Entrepreneurs Program by nearly $200 million by 2025-206.

The honeymoon won’t last long: Labor has inherited an Australian economy which is far stronger than many had projected in the depths of COVID-19 lockdowns, but runaway inflation is now amplifying the cost of living.

Labour shortages continue to hamper key sectors, including the tech industry, construction and hospitality. But Labor’s ambitious skills plan, founded on 465,000 fee-free TAFE places and an expansion of university places, will still take years to produce the next crop of skilled workers.

It will be interesting the future that lies ahead for Australia and as a small business owner myself and helping other businesses, hopefully we do get looked after and not forgotten.

The ATO are issuing penalty notices

Did you know that the ATO are issuing 30-40 penalty notices a day and this is rising?

That is 30-40 director penalty notices every business day and the ATO have begun referring taxpayers to credit agencies as it steps up debt collection post COVID.

The ATO have sent letters of action, unless the director took immediate steps to address the company’s obligations.

The ATO has expected that there will be a number of insolvencies to occur over the coming months as the economy normalizes. The ATO definitely helped businesses facing challenges during the early period of COVID, but now are back at shifting their focus on debt collection.

The ATO announced that 20,000 taxpayers have already responded to the awareness letters by making payments or entering into payment plans.

If you are one of these people, don’t stick your head in the sand, even if you cannot pay the full amount owed straight away.

Don’t let an Accountant do your bookkeeping!

This is a pretty bold statement, coming from a bookkeeper!

But to give you some clarity, having an Accountant do your bookkeeping, is like going to a Hairdresser to get your car fixed, you don’t you would go to a Mechanic.

I am not trying to put down what Accountants do, but when it comes to Bookkeeping, Accountancy is very different to bookkeeping. An Accountant, might be a specialist in tax related matters, but unless they are a bookkeeper, they should not touch anything that is bookkeeping.

New technology is the big one when it comes to bookkeeping and accounting. The shift to digital transformation has accelerated during COVID and changes to remote working practices.

With 2022 in full swing, it’s definitely time to pick up some great bookkeeping habits that will enhance the rest of the year.

1. Keeping the proof of your purchases.

The number of times I speak with business owners who have not kept receipts, get themselves in all kind of trouble. If you can keep a proof of purchases, ie receipts, these receipts will help in determining your cash flow, the more data we have on hand, the better. You can save your receipts using different tools, create a digital space that stores your receipts. There you can share them with me as your bookkeeper.

2. Setting up due dates for business payments.

Business payments are things like rent, utilities, taxes, payroll. Missing any of these payments can cause major issues for your business. The best way to avoid this, is by setting reminder on the due dates of these payments.

3. Keep a petty cash system on hand

Petty cash is there to help your business with small expenses. For example, office supplies, reimbursing employees for expenses. The fund is generally only filled with a few hundred dollars and exists to keep track of the small expenses that staff often forget to hand receipts in for.

4. Record your receipt and invoices

This one is so important to keep in order. Keeping receipts in numerical order, categorised by date allows you to streamline your bookkeeping. You will then have a audit trail which makes it easier to track back if needed. This helps bookkeepers find specific receipts or time periods easily.

5. Get a bookkeeper

Will Interest rate increases affect Businesses?

No matter who you talk too in Australia, we all know that interest rates for homeowners has increased at .25% for most homeowners with a variable mortgage loan.

Do interest rates affect businesses too?

The answer is YES.

When it comes to customers who pay interest on personal loans, home loans and car loans, the higher the interest rate, the less money in a customer’s pocket.

This can reduce their ability to buy products and services, so businesses may see a decrease in sales.

With relation to the cost of borrowing, interest rates rise, banks charge more for business loans. This means you will need to use more of your earnings to pay interest on your loans, which then decreases profit.

This can stop many business owners from starting new projects or expansion during periods of high interest rates, which then impacts the growth of the business.

When interest rates are low, businesses are confident and they can borrow more readily. When they increase, then the confidence lowers and could have a negative effect on the business.

Everything depends on the economic environment.

Businesses who invest their excess cash in interest – bearing accounts will make more money during periods of high interest rates, when rates are low, business are more likely to use their cash for new equipment and plant improvements.

Removing the $450 per month threshold for super guarantee eligibility

It was announced on 11th May 2021, part of the 2021-22 Federal Budget that the Australian Government announced it would remove the $450 per month threshold to expand coverage of super guarantee to eligible employees, regardless of their monthly pay.

‘The change is now law by the Treasury Laws Amendment (Enhancing Superannuation Outcomes For Australians and Helping Australian Businesses Invest) Act 2021External Link with royal assent on 22 February 2022.

From 1 July 2022, employers will be required to make super guarantee contributions to their eligible employee’s super fund regardless of how much the employee is paid.

Employees must still satisfy other super guarantee eligibility requirements’

Did you know employers will need to check their payroll and accounting systems have been updated for super payments made after 1 July 2022 to ensure they correctly calculate their employee’s super guarantee entitlement.

What is the Single Touch Payroll Phase 2?

The Government announced the Single Touch Payroll in the 2019-20 budget and at that time, they did say there would be an expansion of STP, known as STP Phase 2.

What this will do, is reduce the reporting burden for employers who need to report information about their employees to multiple government agencies.

I would think that is a sign of relief for many employers.

The mandatory start date for Phase 2 reporting starts 1st January 2022.

The ATO have notified that Digital Service Providers (DSP’s) who may need more time to make the changes and update their solutions to support STP 2 can apply for a referral for their customers.

So there is a flexible approach to this transition, therefore if your solution is ready for 1 January 2022, you should start Phase 2 reporting. If your solution is ready and you can start Phase 2 reporting before 1 March 2022, then you will be considered to be reporting on time and you won’t need to apply for more time.

You can also apply for a delayed transition from December 2021. There will not be any penalties for genuine mistakes for the first year of Phase 2 reporting until 31 December 2022. This includes employers who have already started Phase 2 reporting.

The benefits for employers are you will no longer have to send the ATO the employee’s TFN declarations. The employees will provide it to you and you will need to keep it with your employee records.

‘If you make a Lump Sum E payment, you won’t need to provide Lump Sum E letters to your employees. You’ll have included the amount and the period it relates to.
If you change software or your employee’s payroll ID, you can tell us in your STP report if your solution has this functionality. This will help fix issues with duplicate income statements for employees in ATO online services through myGov

You may no longer need to provide separation certificates when your employees leave. The date and reason an employee leaves will be in your STP report.
You can also voluntarily report child support deductions and/or garnishees through STP. This reduces the need to send separate remittance advices to the Child Support Registrar’

Many people have been unable to move house because of border closures, people are living in tents, in people’s backyards. Many people will be spending money on rent/mortgages, renovations, building costs because of the demand for many people, is finding a place to live.

During the lockdowns, people have been spending money on food, but with the borders opening in the New Year, I feel the construction industry will increase even more because many people just want to leave the state they live, the house they live, because of the countless lockdowns.

Constant lockdowns, need to source a virtual bookkeeper?

What I’ve heard from business owners of late, is that they are working from home because of the constant lockdowns. Looking after kids, homeschooling and unfortunately the bookkeeping is the last thing they worry about and it’s been put on the backburner.

But….this is where I come in.

Are you eligible for the 2021 COVID-19 business grant in NSW?

‘If you’re a business, sole trader or not-for-profit organisation in NSW and you’ve been impacted by the recent COVID-19 restrictions, you may be eligible for a one-off grant of $7,500, $10,500 or $15,000.

The 2021 COVID-19 business grant provides support for businesses that experienced reduced demand or had to close due to the public health orders. It will support businesses with cash flow for the first 3 weeks of the Greater Sydney lockdown which started on 26 June 2021.

Eligible applicants across NSW can use the grant for business costs incurred from 1 June 2021, including:
• utilities, wages and rent
• financial, legal or other advice to support business continuity planning
• marketing and communications activities to develop the business
• the cost of perishable goods that can no longer be used
• other activities to support the operation of the business’

Reminder that Superannuation is now 10% commencing 1st July 2021

Also don’t forget that STP (Single Touch Payroll) is compulsory, this has been a legal requirement for 2 years.

‘The Superannuation Guarantee (SG) rate as currently legislated will increase from 9.5% to 10% with effect from 1 July 2021 with further increases of 0.5% per year to come from 1 July 2022 until it reaches 12% from 1 July 2025 onwards. The SG rate increases were not affected by the 2021-22 Federal Budget’

This will be very interesting, as most people working from home since the pandemic, have now worked solidly for the full 12 months, so many people will be asking what are work-related expenses and what is not.

The Tax Office has warned it will be taking a close look at work related expenses.

How the Budget will affect your super

Did you know about these recent changes which may affect your super?
In summary, this is what the Government have outlined.

– $450 monthly threshold for superannuation payments have now been scrapped
– First home super saver scheme maximum increased from $30,000 to $50,000
– Work test for super contributions scrapped for ages 67-74
– Super downsizing contribution age threshold reduced to 60

I am sure you didn’t know this information. As a Bookkeeper I must keep up to date on a daily basis of changes. This is what I do each day to ensure all my clients are up to date.

Changes to Casual Employment

If you haven’t heard already, on Friday 26th March 2021, the Fair Work Act 2009 was amended to change workplace rights and obligations for casual employees. These changes came into effect on Saturday 27th March 2021.

In a nutshell, what has changed is the Amendment Act has introduced the following
-The Casual Employment Information Statement
-The Definition of Casual Employment
-Pathway for casual employees to move to full time or part-time (permanent) employment.

In regards to the Casual Employment Information Statement, now Employers will have to give every new casual employee a Casual Employment Information Statement before, or as soon as possible after they start their new job.

The definition of a Casual Employee is the Fair Work Act has been amended to include a new definition. That a person is a casual employee if they accept a job offer from an employer knowing that there is no firm advance commitment to ongoing work with an agreed pattern of work. They will remain a casual employee until they either, become a permanent employee through: casual conversion, or are offered and accept the offer for full time or part time employment, or stop being employed by the employer.

The existing casual employees, which are those casuals who were employed immediately before 27th March 2021 and whose initial employment offer meets the definition, will then continue to be casual employees under the FW Act.

The ATO is permanently launching the small business dispute resolution service

If you didn’t already know, but the ATO has announced its small business independent review service. It will be a permanent service, following a successful pilot stretching several years.
This service will be available for eligible small businesses with an annual turnover of less than $10million. This service will help businesses with disputes about income tax, GST, excise, luxury car tax, wine equalisation tax and fuel tax credits.

You might be asking, what about disputes about employer obligations for instance superannuation; & fringe benefits tax are not eligible for the independent review service. This independent review service is available to eligible small businesses in addition to other dispute options, ie lodging an objection, in-house facilitation.
The pilot program started in 2018, over 1200 or more small businesses have been offered the service. More than 180 small businesses have taken up the ATO’s offer. Since the pilot program started, those that participated found the process to be fair and independent, hence why it’s now been implemented permanently.

Personally, I think it’s a great initiative and extremely helpful to small business.

Since COVID started, it was already busy, but now that we are coming out of COVID, more people have reconsidered how they spend $$$ on their business and what is really great to see is so many more people are coming to the conclusion that it is way smarter and cheaper to outsource their bookkeeping.

More so now, then ever before.

With the Government making changes to requirements for businesses, business owners are confused as to what is on offer for them, what they need to do and when different things are due.

The COVID Rebound

Can you believe it’s been 12 months already of the 1st case of COVID. In Australia we faired pretty well compared to the rest of the world.

We are definitely in rebound mode, for many business owners, it’s survival. Some have been able to grow leaps and bounds, pivot, while others have relied on the Jobkeeper payments and still could close.

But the outlook looks to be that Australia business is on the rebound.

There has been new consumer confidence in the market, people seem to have more money, they are spending on homes, cars, holidays locally and interstate because they can’t spend that money on overseas holidays.

So there are a couple of things to think about with this rebound which is:

1.Cashflow
Look at your business and review exactly how much it needs to survive and what timeline.

2. Documentation
Document everything, if you are not already, look at streamlining your processes. Start reviewing your costs in pre-crisis revenue and margin to post crisis.

3. Inventory
As Australia is starting to reopen borders, early movers building inventory soon may benefit from pre-surge prices.

4. Prepare to Hire
I know that sounds crazy, but can you afford to add staff now or not. Do you have a HR person to help, look at identifying job descriptions, start dates.

5. Work with the best Bookkeeper
Now this one is a given, you need to talk to me. A good bookkeeper will save you a lot of $$$.

So remember, we are coming out of this pandemic and it’s exciting to see Australia rebound and show the rest of the world, how tough and resilient we truly are.
