Have you outsourced your bookkeeping in the past?

Have you ever outsourced your bookkeeping but decided to do it yourself?

Was the reason that you felt you lost that control?

We have recently completed a survey and asked business owners the main reason why they won’t outsource their bookkeeping.

The majority of people answered that they felt like they would lose control of what was happening within the business.

Isn’t it strange, as a business owner, we like to control every facet of our business, from working on the product or service, to delivery, to pricing, to writing content, to social media, we like to stay and control and do it all?

Well, sometimes you just can’t do everything as a business owner.

It just isn’t possible.

You don’t have the time.

Which means an area of your business, which is probably the most important aspect, either doesn’t get done, or it gets done, but in a hurry and errors are made.

Have you thought that Maree your bookkeeper could do this for you, in half the time and she will keep you informed of what she is doing, so you still feel like you have that control?

Does that sound pretty good to you?

Then give Maree a call today on 0429 363 047.

Is your business avoiding its debts?

As a consumer, you may or may not know someone that has been affected by a dodgy business that has shut down to avoid paying its debts.

We have seen this happen quite a bit over the last few years.

The business may seem to just disappear off the face of the earth, overnight, only to pop up under a different company name.

This as we know is called ‘phoenixing’ and it’s ILLEGAL.

It’s been around for many years and illegal phoenix activity happens in many different industries. The worst is many subcontractors and / or supplies are left unpaid and businesses may be forced to shut down.

Did you know the ATO has a taskforce called ‘Phoenix Taskforce’ whereby they work with other federal, state and territories to detect, deter and disrupt illegal phoenix businesses?

There are a few red flags to watch out for such as

  1. Companies providing unusually low quotes or tenders
  2. Company directors who have previously been involved with liquidated entities
  3. Changes to the company’s name and directors, but the manager and staff remain the same
  4. Companies requesting payments to be sent to a new company
  5. Told that your last contract won’t be paid, unless a new contract is signed, usually this is done under a different company name from the 1st one you began having dealings with.

If you suspect anything illegal, please contact the ATO and/or

How will COVID affect your business in 2022 and into the future?

Many business owners have not been affected since 2020 when the first case was detected and Australia started going into lockdown.

Though on the end of the spectrum, I have lost some clients myself (not many) because COVID did contribute to a few businesses closing.

How will it affect your business in 2022?

I feel more business owners are optimistic when it comes to their own business this year. Over the last 2 years, many business owners have refocused, pivoted into other areas of their business.

Some have closed one part of their business and ventured into another area which has been of financial benefit.

If anything, business owners are becoming more creative.

What they thought wasn’t possible, is possible.

Many cafes that had a bustling business are now only doing takeaway and remaining doing takeaway. They felt with the wages of staff for waitressing, was better spent in keeping the remaining staff on for cooking and delivery.

How will your business go into the future?

Have you been able to sustain your business during the pandemic?

What have you done to keep it going?

If you ever need help with your bookkeeping, I’m happy to have a chat.

Let’s hope the future looks more positive for all business owners.

2022 the year ahead

2022…

Well it’s here.

Can you believe that the last 2 years has changed everyone’s lives?

Some has been positive changes and some have been negative changes.

I’ve seen many of my customers having to put more staff on, where others have had to let staff go.

Who would have predicted this would happen?

Who would have thought a pandemic could destroy or help a business?

No one saw this coming.

Who would have thought Australia would have border closures?

Who would have thought you couldn’t travel?

Who would have thought Real Estate would increase at such an incredible rate?

Who would have thought people would become homeless?

I have seen so much change over the last 2 years especially when it comes to Bookkeeping. With Job keeper, with grants, different changes to STP Phase 1 and STP 2 and everything else that the Government has imposed.

If you just need to have a chat about your business and where it is headed, please give me a call anytime on 0429 363 047.

Do you want to know how to increase your profit in the next 90 Days?

Have you recently seen my recent add?

If you haven’t, well I am a Bookkeeping Expert.

I have seen the NUMBER ONE mistake that prevents owners from achieving their financial goals and it’s not eating their FROGS.

What does FROGS got to do with increasing my profit?

Frogs is an analogy to describe many business owners who

– Are working very long hours
– Are not knowing how much profit they are making
– Are getting anxious each time their bank balance gets low
– Who don’t have the time to invoice their clients
– Who constantly feel stressed when it comes to their bookkeeping and cash flow

Business owners who feel ripped off because owning a business should be more profitable and take up less of their time.

That’s what I mean not eating their FROGS.

My name is Maree and I’m a Professional Bookkeeper.

Over the last 10 years, I have helped small business owners to:
Take their bookkeeping frustrations away
Improve their Cash Flow and Profits
Understand their numbers
Create MORE TIME to do the things they ENJOY

Don’t let the frogs win!….

If you want to build a business that supports you and your family to live a life you know you deserve, you need someone to help you get the unpleasant stuff done.

To help you get started with this, I’ve put together a Profit Planner + Action Plan that will give you a clear plan on things to TAKE ACTION ON NOW to kickstart your business into 2022.

To get this Super Simple Profit Planner, send me a message with your email address and I can email one out to you.

Enjoy your planner, the feedback from many people has been fantastic, they said it’s a great free tool and wish more Bookkeepers could help them like this, hence give me a call on 0429 363 047.

Did you know that I niche in the Franchising industry when it comes to Bookkeeping?

Not every Bookkeeper looks after businesses that are part of a Franchise. But I do, I have looked after many Franchise businesses, especially those in hospitality franchises ie Muffin Break, Café 2U.

Do you have a dedicated Bookkeeper who just looks after Franchisees?

I bet you don’t.

Many franchisees have the flexibility to outsource to a bookkeeper, without having to use one that the Franchiser recommends or uses, which is great for me, because I do have many franchise owners who approach me to assist them with their bookkeeping.

Did you know that my fixed-fee bookkeeping packages, start from $59.00 per week?

This covers bookkeeping, payroll, financial reporting, budgeting, accounts payable & receivable, tax returns and BAS & GST returns.

If you would like to have a chat about how I can help you if you own a Franchise, please give me a call anytime.

– Free your time so you can work on your business rather than trying to do all the tasks of a bookkeeper
– Minimise the risk of fraud by having another set of eyes to check and oversee your accounts
– Conduct ongoing auditing and assurance
– Having someone on your side that can advise and support you in areas of your business that you may not be as knowledgeable.

As a Bookkeeper and BAS agent, I am registered with the Tax Practitioners Board and I am required and have the skills and knowledge of general accounting principles, relevant legislation and up to date current best practices.

How certain are you that your business will continue with these constant lockdowns?

From what I am hearing from business owners, many are very fearful that their business may not survive all these lockdowns.

Do you think any business is lockdown proof?

Personally, my business as a virtual bookkeeper has expanded and I’m way more busier than ever, looking after new and existing clients, answering questions, helping them with their BAS and sometimes just being a counsellor and listening to their problems. These lockdowns are affecting all different kinds of businesses, not just your cafes and restaurants and retail, but those that depend on stock from delivery interstate, those that have staff on the other side of the border that can’t get through and the pain of these lockdowns is trickling through and affecting other businesses.

It’s a surreal situation for all business owners and when we look back at this, we will look out how we survived, did we pivot, did we just dig deeper, did we actually notice the pandemic, some businesses it hasn’t had any impact, some are obtaining more business and taking it while the iron’s hot as they say.

What about you and your business? Will it continue with these constant lockdowns?

If you need a bookkeeper and need help, you know I am here to help you through it all.

Constant lockdowns, need to source a virtual bookkeeper?

What I’ve heard from business owners of late, is that they are working from home because of the constant lockdowns. Looking after kids, homeschooling and unfortunately the bookkeeping is the last thing they worry about and it’s been put on the backburner.

But….this is where I come in.

I’ve been working as a virtual bookkeeper for over 20 years, with many clients who reside from Perth to Darwin and everywhere in between, so I’m used to working for clients no matter where they live in Australia.

But not doing your bookkeeping is the worst thing you can do, this is when your business will fall into pieces and that’s the last thing you need on top of looking after children, home schooling and lockdowns.

Working as a Virtual Bookkeeper for all these years has given many business owners the opportunity to expand their businesses and don’t think that because of lockdowns that businesses are not expanding.

Some businesses that I work for have been so busy that they have had to put extra staff on, more than they expected because of lockdowns, COVID and their profits have increased.
Don’t let your bookkeeping fall behind because of constant lockdowns.

Please give me a call on 0429 363 047 and let me help you.

Do you know about the changes to unpaid parental leave entitlements?

The Fair Work Act was amended on the 26th November 2020, to include new unpaid parental leave entitlements for parents, who experience the traumatic events during or ahead of their unpaid parental leave.

In other words, this includes premature birth, stillbirth, death of a child.

It’s something we don’t want to talk about or even think about, but these changes will enable all eligible parents to access up to 30 days of their unpaid parental leave. This only applies to a child born or whose placement happens on or after 27th November 2020.

It is hard to fathom what parents go through during these traumatic events.

Even though I talk about business, bookkeeping and PAYG etc, these events do happen to so many people, which is so unfortunate and as a bookkeeper, I keep abreast with these changes which may affect you or your employee.

Changes to Casual Employment

If you haven’t heard already, on Friday 26th March 2021, the Fair Work Act 2009 was amended to change workplace rights and obligations for casual employees. These changes came into effect on Saturday 27th March 2021.

In a nutshell, what has changed is the Amendment Act has introduced the following
-The Casual Employment Information Statement
-The Definition of Casual Employment
-Pathway for casual employees to move to full time or part-time (permanent) employment.

In regards to the Casual Employment Information Statement, now Employers will have to give every new casual employee a Casual Employment Information Statement before, or as soon as possible after they start their new job.

The definition of a Casual Employee is the Fair Work Act has been amended to include a new definition. That a person is a casual employee if they accept a job offer from an employer knowing that there is no firm advance commitment to ongoing work with an agreed pattern of work. They will remain a casual employee until they either, become a permanent employee through: casual conversion, or are offered and accept the offer for full time or part time employment, or stop being employed by the employer.

The existing casual employees, which are those casuals who were employed immediately before 27th March 2021 and whose initial employment offer meets the definition, will then continue to be casual employees under the FW Act.

If this sounds all too confusing, give me a call and let me step you through it and remember that there is a new avenue to resolve some disputes about casual conversion through the Federal Circuit Court.

Businesses given a deadline to acquire a Director ID

Recent news that Business Directors now have a set deadline to obtain a director identification number under the federal governments digital business plan.

It’s providing directors appointed under the Corporations Act 2001 that they have up until the 30th November 2022 to obtain a Director Identification Number (Director ID).

It will apply for both existing Directors who were appointed prior to the start of the Director ID regime as well as Directors appointed during the testing phase. The Government released these details as part of the 2020 budget Digital Business Plan.

The director ID will help prevent the appointment of fictitious directors, which unfortunately some businesses have done. This is under the MBR program which was announced as part of last years.

Are Bookkeepers in demand in 2021?

The answer is YES

Since COVID started, it was already busy, but now that we are coming out of COVID, more people have reconsidered how they spend $$$ on their business and what is really great to see is so many more people are coming to the conclusion that it is way smarter and cheaper to outsource their bookkeeping.

It makes good economic sense.

More so now, then ever before.

With the Government making changes to requirements for businesses, business owners are confused as to what is on offer for them, what they need to do and when different things are due.
So yes, the answer is a resounding yes, we are very much in demand.

If you need assistance, you’re in the right place, just give me a call, email, pm, whatever and I can help you anytime, any day.

The COVID Rebound

Can you believe it’s been 12 months already of the 1st case of COVID. In Australia we faired pretty well compared to the rest of the world.

We are definitely in rebound mode, for many business owners, it’s survival. Some have been able to grow leaps and bounds, pivot, while others have relied on the Jobkeeper payments and still could close.

But the outlook looks to be that Australia business is on the rebound.

There has been new consumer confidence in the market, people seem to have more money, they are spending on homes, cars, holidays locally and interstate because they can’t spend that money on overseas holidays.

So there are a couple of things to think about with this rebound which is:

1.Cashflow
Look at your business and review exactly how much it needs to survive and what timeline.

2. Documentation
Document everything, if you are not already, look at streamlining your processes. Start reviewing your costs in pre-crisis revenue and margin to post crisis.

3. Inventory
As Australia is starting to reopen borders, early movers building inventory soon may benefit from pre-surge prices.

4. Prepare to Hire
I know that sounds crazy, but can you afford to add staff now or not. Do you have a HR person to help, look at identifying job descriptions, start dates.

5. Work with the best Bookkeeper
Now this one is a given, you need to talk to me. A good bookkeeper will save you a lot of $$$.

So remember, we are coming out of this pandemic and it’s exciting to see Australia rebound and show the rest of the world, how tough and resilient we truly are.

Did you know the Government is planning to reveal a $1.2 billion extension of the Apprenticeship wage subsidy?

I for one applaud this initiative from the Government. For any business or group training organisation, if an apprentice is engaged between 5th October 2020 through to 21st September 2021, they may be eligible for a subsidy of 50% of wages paid to a new or recommencing apprentice or trainee for a 12-month period from the date of commencement. The maximum of $7000 per quarter.

As a mother of two boys my eldest son only having left High School late 2020 after completing his HSC, this is a fantastic initiative for anyone or has just left school or even those looking to change careers.

We definitely need this due to COVID and the economic challenges that are to come in the future.
I hope that businesses will take up this initiative because we need a skilled workforce. It also shows that there is greater confidence for businesses who may have held back over the last 12 months.

I myself am thankful and having children of my own it provides me some security that they have a bright future ahead.

EOFY is approaching – are you ready?

Mmmm that question has made many people a little nervous this year.

I am not sure why, I think with the turbulent year of COVID and businesses being in lockdown and reopening, many people haven’t kept an eye on the expenses or they have been so busy because COVID brought more work into their business, they are way behind in their books.

EOFY is an extremely important time of the year for any business. Not only that you must have everything up to date, but it’s a good time to reflect on the past 12 months and look at how your business faired.

Many people will be worried because COVID had an impact on many businesses, some failed and had to close or they had to stand down employees, other businesses had the oppositive effect and had to put on staff to cope with the increased amount of business.

Either way, EOFY is only a few months away and now more then ever is the time when you need to outsource your bookkeeping to a qualified bookkeeper. Someone that can take that pressure off you or even just to answer a question you may have.

Many regulations and changes are taking place and Jobkeeper will be finished at the end of March. Please don’t hesitate to give me a call now and let me get you organised and up to date for EOFY.

Why the wife or partner shouldn’t do the Bookkeeping

The number of times when I call a business owner and the response is ‘oh the Mrs / partner does the Bookkeeping.’

That there is where the problem lies.

Firstly, not all Mrs or Partners are fully qualified Bookkeepers. Not all know what they are doing.

But because you’re in a relationship with this person, you don’t question what they are doing with your books, because of course you trust them.

Unintentionally the Mrs/Partner may be entering in the wrong information or not coding an expense correctly, not out of spite, but just because they are not experienced and because most couples don’t want to upset the other, they trust they are doing the right thing.

More often than I can count, is when a business owner calls me, because mistakes have been made and then it causes problems in the relationship, which it shouldn’t.

Hence why when it comes to bookkeeping, right from the beginning you should outsource to a bookkeeper. Someone that is impartial, but also makes your business a priority, because that is what I do. I treat your business financials as my own. If I’m helping businesses with PAYG or payroll, reconciliations, whatever it is, I do it as if it was my own business.

So instead of allowing your Mrs/Partner to do your bookkeeping, it is way better to outsource this area of your business and keep your loving relationship intact, otherwise you may be visiting a divorce lawyer instead.

What can we learn from 2020?

That is the million-dollar question right there.

What have we learned from 2020? The year that brought Australia and the world to a stop. A global pandemic that brought businesses to a standstill, many hundreds and thousands of deaths across the world, not only in Australia but all countries because of COVID-19.

We all wanted a slower pace of life, the old saying, there is no place like home.

And home is what we got.

Hundreds and thousands of people, children, families had to stay home because of this pandemic. It made us all look and review how we live our lives, it gave us time to reflect on what we have, our health, our families.

What is most important to us.

Personally, what I learnt from 2020 was I had more time with my two boys and my husband. I was able to see what my boys were learning through school and find out their weaknesses first hand and was able to support and help them. Especially my eldest boy who finished Year 12 this year. I am glad I was able to support him during this time.

I was there for my dad more and helping him with errands and my husband. So for me what I learned was life is precious, family is precious. Business is not the most important thing in life, family, love and our health is.

I truly feel many people probably think along the same lines as I do, but that is what I learnt in 2020.

I hope we all as a community, as a country pulls through this together and 2021 is a better year for us all, but that we don’t forget the precious things in life, which is are families.

The most common accounting errors all small businesses should avoid.

What do you think Number 1 would be, can I hear you….yes, your right?
BAD BUDGETING.

Bad budgeting might sound cliché but budgeting can make or break any business. A budget needs to give you a clear idea of how your business is tracking, whether you are breaking even or making a profit.

The next one is UNDERSTAND THE DIFFERENCE BETWEEN EMPLOYEES AND CONTRACTORS.

Hiring staff can sound exciting, when you tell your friends and family, I’m hiring staff because my business is going well. There are many pro’s and cons to both. Hiring an employee or a contractor has massive differences in terms of insurance, payroll tax, legalities and when it comes to staff who are actually employed by you, then you need to review if you need this help temporarily or on a long-term basis. Remember contractors are businesses themselves, they invoice you for the hours spent on the agree job.

The next one is NO ORGANISATION OR PAPERWORK.
It is so important to make sure your paperwork is in order, especially when it comes to tax time. Have a checklist of tasks to complete and keep your paperwork organised, legally you might hold files either digitally or physical for seven years in Australia

Oh, this one I see way to often MIXING PERSONAL FINANCES WITH BUSINESS

Many businesses say they don’t have a separate bank account for their business and that is a risky situation. Mixing up financial accounts for their business is difficult when you are trying to sort out your personal expenses (which are not tax deductible). Unless you are a sole trader, opening up a separate business account and not mixing business and personal expenses is a good idea, though I do suggest sole traders to separate the two as well.

The last one is NOT HIRING A BOOKKEEPER OR ONE AT ALL.

Many small businesses think that it will cost the earth to outsource, but there are so many benefits to outsourcing help, from saving time doing the books, hiring someone that knows the ins and outs of business finance, they will get to know your business and help you achieve your goals and address any weak areas in your budgeting or cash flow. They will keep you organised and your documentation will be correct and in order. Lastly, they take away the stress out of money management.

If this resonates with you, give me a call on 0429 363 047.

The worst bookkeeping mistakes that most business owners don’t realise

There are a number of mistakes business owners don’t even realise they are doing and in my years of bookkeeping experience, I have seen so many.

  1. Not setting up your chart of accounts
If you are doing your bookkeeping yourself, try not to use what the bookkeeping software provides as it may not be relevant. It’s beneficial to build your own and also make sure your GST codes are correct.
  2. Setting up your Petty Cash account in Assets
If you have an office petty cash tin, it is not an asset. So, don’t setup an account for it.
  3. Not setting up payroll correctly
Oh, boy have I seen some doozies in my time. It is extremely important that payroll and employees have been setup correctly. Include the employees DOB, TF and ensure their penalty rates are correct and also don’t forget that your linked accounts are correct, which includes tax, superannuation etc.
  4. Reconciling incorrectly
This includes all bank and credit card reconciliation, BAS reconciliation and payment summaries and superannuation.
  5. Assets or liabilities as expenses
By now you should know the difference between the two, but many business owners don’t. I can definitely help you and explain the difference.

It sounds simple, but why would you do this yourself, when you can outsource this to me.
